What loadez collects, why, who sees it, and how to have it deleted. This covers the loadez web app, the loadez driver app for Android, and the loadez.ai website.

Who we are

loadez (“loadez”, “we”, “us”) makes dispatch software for car haulers and auto transport carriers. Carriers and dispatch agencies (“your carrier”) use loadez to plan loads, dispatch drivers, track trips, collect delivery paperwork and pay drivers. Drivers use the loadez driver app to receive and run those loads.

If you drive for a carrier that uses loadez, your carrier created your account and decides how it uses loadez for its operations. We process your data to provide the service to your carrier and to you. Questions about how your carrier handles your employment or contractor records should go to your carrier as well as to us.

What the driver app collects

The driver app has no public sign-up. You sign in with an account your carrier set up for you. While you use it, the app collects:

Account and profile

Your name, email address, phone number, the account identifier we assign, and a profile photo if you add one. Your carrier may also enter details such as your CDL number, class and expiry, and your equipment.

Location

Precise location from your phone’s GPS, sent to loadez while the app is open or while a trip is running. Location is required while a load is on your trailer, from dispatch to delivery, so your carrier can see where the load is and so the app can navigate. Between loads, sharing is your choice: the “share between loads” switch in your profile turns it on or off. When the app is tracking a trip or navigating with the screen off, Android shows a persistent notification. The app does not ask for Android’s “allow all the time” background location permission.

Photos and documents

Photos you take or pick in the app: vehicle inspection and damage photos, bills of lading, proof of delivery and signatures, receipts, and credential documents such as your CDL and DOT medical card. The camera is used only when you choose to take a photo. Text on documents may be read automatically to fill in fields such as expiry dates.

Expenses and fuel

Expenses you file (amount, category, note and the receipt) and fuel purchases, including the price paid at a station, which may be shown to other drivers of your carrier as a recent paid price.

Messages

Messages you send to and receive from your carrier’s office in the app’s chat.

Trip activity

Loads offered to you, whether you accepted or declined them, trip status changes (for example, picked up and delivered) and their times, route plans and the areas you mark as preferred or avoided.

Device and diagnostics

Basic technical data needed to run the service, such as app version, device model and error information. The maps and navigation in the app are provided by Mapbox, whose software development kit sends Mapbox location and usage data that Mapbox de-identifies and uses to operate and improve its maps (see Mapbox’s privacy policy).

The driver app does not show ads, does not use the Android advertising ID, and does not access your contacts, microphone, or photo library beyond the photo you pick.

What the web app and website collect

People who use the loadez web app (dispatchers, owners, accountants, brokers and shippers) give us their name, email, phone, company details and the operational data they enter: loads, customers, vehicles, invoices and documents. Payments for subscriptions are handled by our payment processor; we do not store full card numbers.

On loadez.ai, forms such as the driver job application collect what you type into them. The website uses Google Analytics to count visits and see which pages are used.

How we use it

  • To run the service: show loads, dispatch and track trips, navigate, store delivery paperwork, calculate driver pay and expenses, and let drivers and offices message each other.
  • To keep compliance records your carrier is required to keep, such as driver qualification documents.
  • To send service email, such as sign-in and account notices.
  • To secure the service, prevent abuse, and fix problems.
  • To comply with law and respond to lawful requests.

We do not sell personal data, and we do not use it for advertising.

Who sees it

  • Your carrier. The office you drive for sees your profile, location as described above, trip activity, documents, expenses and messages. If your carrier works with a dispatch agency on loadez, the agency sees the same for the loads it dispatches for you.
  • Brokers and shippers of your loads. They may see a load’s status, its progress along the route, and its delivery documents such as the bill of lading and proof of delivery. They do not see your location or anything about you outside their own loads.
  • Service providers that process data for us under contract: cloud hosting and storage (DigitalOcean), maps, routing and search (Mapbox), automated reading of document text (Anthropic), transactional email (Resend), payment processing, and website analytics (Google).
  • Legal and safety. When required by law, or to protect the rights and safety of people and the service.
  • Business transfers. If loadez is merged or acquired, data may transfer with the business under this policy.

How long we keep it

We keep account data while the account is active. Location points, trip records and delivery documents are kept as part of the load they belong to, because carriers rely on them for billing, claims and audits. When an account is deleted we delete or de-identify its personal data within 30 days, except records a carrier must keep by law (for example, driver qualification files, which federal rules require carriers to retain for three years after employment ends) and records we need for legal, tax or security reasons. Backups are overwritten on their normal cycle.

Security

Data is encrypted in transit (HTTPS). Access to data is limited by account and role, so a driver sees only their own records and an office sees only its own company. No system is perfectly secure; if you think your account is at risk, contact us.

Your choices and rights

  • Turn location sharing between loads on or off in the app’s profile screen, and manage camera, location and notification permissions in Android settings. Location stays required while a load is on your trailer.
  • Ask for a copy of your data, a correction, or deletion by writing to support@loadez.ai. Depending on where you live, you may have further rights under local law, and we will honor them. We will not treat you differently for using them.

Delete your account and data

To delete your loadez account, including a driver app account:

  • Email support@loadez.ai from the email address on the account, with the subject “Delete my loadez account”. Include your name and the carrier you drive for.
  • Or ask your carrier’s office to remove you; they can do it from their team settings, and we complete the deletion.

We confirm by email and delete your profile, sign-in, profile photo, messages you sent, expenses and location history within 30 days. Load records and delivery documents your carrier must keep, and driver qualification files covered by federal retention rules, are kept for the required period and then deleted.

Children

loadez is a work tool for adults. It is not directed to anyone under 18, and we do not knowingly collect data from children.

Changes to this policy

If we change this policy we will update the date at the top, and if the change is material we will tell account holders by email or in the app before it takes effect.
